    Plan Weekly in Advance

Have a plan for the day in advance. By making a plan every Friday for the week ahead, we no longer live in a reactive and frazzled way. We are able to be proactive and show up well for work and life. This is a life-changing practice that I would encourage everyone to implement.

    Plan Today for Tomorrow

If there's one tactic that has made the biggest impact on my productivity, it's to plan for tomorrow, today. When we plan at the end of the workday instead of in the morning, we get two primary benefits: 1) We are able to wrap up the workday mentally, such that we can truly disconnect in the evenings and be present at home, and 2) We are able to reduce the activation energy required to just get started in the morning, because we already have a list we can start executing against instead of asking ourselves 'What should I do first?' and then 'What should I do next?'.

    Incorporate Time-Blocking

You know, finding that one game-changer for productivity can feel like discovering the perfect massage technique—it's transformative! For me, incorporating time-blocking was like booking a deep-tissue session for my schedule. By setting aside dedicated blocks for specific tasks—like emails, client calls, and creative brainstorming—I found I could stay more focused and efficiently tackle my to-do list. It's like giving each task its own spa treatment! Whether using digital tools or a good old-fashioned planner, the key is to create a rhythm that suits your workflow and helps you maintain momentum throughout the day. Just like a well-planned massage session, a structured routine can leave you feeling energized and accomplished by the end of the day.

    Schedule Unscheduled Time

As a CEO and mom, I used to feel like I'd never be able to get to the bottom of my to-do list, especially as other tasks popped up throughout the day.

That's why I started scheduling an hour of "Unscheduled Time" each day. It seems counterintuitive, but having a block of time dedicated to the extra tasks that pop up throughout the day lets me finish what I need to and help manage any surprises without throwing my entire day or week off.

And in the event that something does come up before that block of unscheduled time, I don’t hesitate to say no. This lets me protect my peak productivity hours and ensures I stay as focused and productive as possible.

    Embrace Daily Meditation

As a holistic life coach, mentor, and spiritual guide, one of the most transformative changes I've implemented in my daily routine is meditation. This simple yet powerful practice has dramatically increased my personal productivity.

Meditation involves taking a few moments to sit quietly, focus on your breath, and gently release any distracting thoughts. It's a practice of mindfulness that brings clarity and peace, helping to center and ground oneself. The beauty of meditation lies in its simplicity and accessibility; it requires no special equipment and can be done anywhere, making it easy to incorporate into even the busiest schedules.

By starting each day with meditation, I've found that I can approach my tasks with greater focus and intention, handle challenges with more resilience, and maintain a balanced and calm mindset throughout the day. This practice not only boosts my efficiency but also enhances my overall well-being, making it an invaluable tool for anyone looking to increase productivity and cultivate a more harmonious life.

    Start Day with Stretching

I begin my day by taking 30 minutes to stretch my body. As an athlete competing in pickleball, tennis, and golf, I feel great afterward. I have done something wonderful for my body, which translates into something great for my mind.

    Block Off Focused Work Hours

As the co-founder of a small company, making my daily routine efficient has been key. The single change that increased my productivity the most was implementing a strict schedule for focused work.

Each day, I block off two hours for deep, distraction-free work. During this time, I turn off notifications on all devices and work only on high-priority tasks. This focused work period is when I'm most productive—whether it's developing new products, writing blog posts, or planning marketing campaigns. By protecting this time, I accomplish as much as possible without constant interruptions.

Another change was optimizing my workspace. I cleared away clutter and set up an ergonomic desk with proper lighting. Having a clean, comfortable workspace helps me focus and stay productive. Small improvements like these, when implemented consistently, have given me at least an extra hour each day to grow my business.

Routines and environments that facilitate focus and flow are key to increasing productivity. By making a few simple changes, any entrepreneur or small business owner can gain valuable time to devote to the work that really moves the needle.

    Create a Focused Environment

I recently started a new project in addition to a corporate role and have needed to increase my daily mental output. The most impactful change I have found is intentionally creating a focused environment. When I enter a 'flow state,' I am more productive.

By experimenting with different practices, I discovered ones that led to 2-3 hours of deep work per session. This environment usually includes: putting my phone out of reach, listening to 40 Hz binaural beats, defining goals, and taking breaks to meditate or move. It has increased my output and my ability to focus for long periods. This has allowed me to spend more time doing things I love and less time stressing about my to-do list.

The key is intentionally setting up an environment that will support or enhance your natural ability to focus. By removing distractions, I have dramatically increased the quantity and quality of my output.

    Dedicate a Morning Power Hour

Switching my morning routine to include a dedicated 'power hour' has dramatically increased my productivity. Each day, I spend this hour tackling my most critical tasks without any distractions, setting a strong tone for the rest of the day. It's amazing what a difference it makes to handle complex issues when your mind is fresh. This small shift has helped me stay ahead of the curve and keep Sartoro running smoothly. It’s like giving yourself a head start in a race every single day. Plus, knowing I’ve knocked out the big stuff early makes the rest of the day feel much lighter.

    Automate Document Creation

One productivity change I made was automating my document-creation process using templates and clause banks. As an attorney, I spend a lot of time drafting documents like contracts, letters, and legal forms. By building templates with my commonly used clauses, I can auto-populate 70-80% of a new document in seconds. This automation has cut my drafting time in half, freeing up hours each week to focus on more complex legal work.

I also started using an AI-powered document review tool. Manual review of contracts and leases used to take days, but now the software can analyze documents in minutes, identifying risks and flagging issues for my review. The AI is constantly learning from the documents I feed it, improving its accuracy and speed over time. This technology has reduced the time I spend on due diligence and compliance by over 80%, a game-changer for my practice.

Finally, I moved to a cloud-based practice management system. Having all my case files, contacts, schedules, and documents in one place, accessible anywhere, has optimized my workflow. No more wasting time searching for physical files or ensuring I have the latest versions of documents. Everything is automated, synced, and at my fingertips, shaving hours off administrative tasks each week. For any law practice, a good PM system and DMS are essential.

My firm has gained over 30 hours of productivity each week from these few technology implementations. The benefits of efficiency and reduced overhead have far outweighed any costs, and the additional time allows me to take on more clients and interesting work. For any practice, focusing on automation and optimized workflow is key to success.

    Tackle the 'Frog' First

One small change that made a big impact on my productivity was adopting the "eat that frog" approach each morning. I used to tackle easy tasks first, but I realized I was avoiding the tougher, more critical ones. Now, I start my day with the most challenging task—the "frog"—which sets a tone of accomplishment and motivation for the rest of the day. It's like facing a dragon right at dawn! This shift has boosted my productivity and sharpened my focus and decision-making throughout the day. For anyone looking to supercharge their routine, tackling the biggest challenge first can be a game-changer.
